8. How Long Will You Keep My Personal Data?

We will not keep your personal data for any longer than is necessary in light of the reason(s) for which it was first collected. Your personal data will therefore be kept for the following periods (or, where there is no fixed period, the following factors will be used to determine how long it is kept):

  • Existing customer information will be retained for as long as the contact is current, they are an active customer and as outlined in any accounting or Tax regulations.
  • Sales prospect information (those contacts that we deem to have legitimate interest in our services and those that have expressed an interest in our services or are in the sales cycle) will be kept as long as they have not opted out of receiving email marketing material or have not asked us to remove them from our database. Any contacts who ‘bounce’ as a result of receiving an outbound email will be deemed to have left the organisation and will be archived. Those contacts who we find out have left their organisation by any other means will be archived.

9. How and Where Do You Store or Transfer My Personal Data?

We will store and transfer your personal data within the European Economic Area (the “EEA”). The EEA consists of all EU member states, plus Norway, Iceland, and Liechtenstein. This means that your personal data will be fully protected under the GDPR or to equivalent standards by law. Where we transfer your data to a third party based in the US, this may be protected if they are part of the EU-US Privacy Shield. This requires that third party to provide data protection to standards similar to those in Europe. More information is available from the European Commission.

The security of your personal data is essential to us, and to protect your data, we take a number of important measures, including but not limited to the following:

  • We use technology controls for our information systems such as firewalls, user verification, strong data encryption for data in transit and perform regular back ups
  • We utilise industry “best practice” standards to support the maintenance of a robust information security management system.

10. Do You Share My Personal Data?

We may sometimes contract with third parties to supply certain services. These may include payment processing, delivery, and marketing. In some cases, those third parties may require access to some or all of your personal data that we hold.

If any of your personal data is required by a third party, as described above, we will take steps to ensure that your personal data is handled safely, securely, and in accordance with your rights, our obligations, and the third party’s obligations under the law, as described above in Part 9. If any personal data is transferred outside of the EEA, we will take suitable steps in order to ensure that your personal data is treated just as safely and securely as it would be within the UK and under the GDPR, as explained above in Part 9. In some limited circumstances, we may be legally required to share certain personal data, which might include yours, if we are involved in legal proceedings or complying with legal obligations, a court order, or the instructions of a government authority.

  • The personal data we collect may be shared for Telemarketing/telesales purposes to external Telemarketing agencies based in the UK.
  • We use Email blast software based in the US.
  • For website analytics and tracking visitors and their behaviour we use CANDDI, based in Dublin, Ireland.
  • Database for holding client and prospect information we use Cloud based CRM Database based in US.
  • We use Online Survey software is based in the US. Data may be collected if you take part in one of our customer satisfaction surveys, unless advised otherwise as part of the survey, i.e. the survey is anonymous.

11. How Can I Control My Personal Data?

11.1 In addition to your rights under the GDPR, set out in Part 5, when you submit personal data via Our Site, you may be given options to restrict our use of your personal data. In particular, we aim to give you strong controls on our use of your data for email marketing purposes (including the ability to opt-out of receiving emails from us which you may do by unsubscribing using the links provided in our emails and at the point of providing your details via the website contact form.)

11.2 You may also wish to sign up to one or more of the preference services operating in the UK: The Telephone Preference Service (“the TPS”), the Corporate Telephone Preference Service (“the CTPS”), and the Mailing Preference Service (“the MPS”). There is not normally any charge for a subject access request. Normally, we aim to provide a complete response, including a copy of your personal data within that time. In some cases, however, particularly if your request is more complex, more time may be required up to a maximum of two months from the date we receive your request. We will advise you in writing that your request has been extended and the reason for the extension. You will be kept fully informed of our progress.
